Print acknowledgment letters, lists, or both

After new assignments are received, use this routine to print acknowledgments to send to the clients. Depending on the settings in the Client Control Record, the client receives letters, lists, or no acknowledgments. Two or more clients can be included on the same acknowledgment.

  1. From the Master menu, navigate to Correspondence > Acknowledgments (menu 2.1).
  2. In the Acknowledgments window, select one of the following:
    • To print letters, select Acknowledgment Letters, and press Enter or click Ok.
    • To print lists, select Acknowledgment Lists, and press Enter or click Ok.
    • To print both letters and lists, select Both Letters and Lists, and press Enter or click Ok.

      In field 51 - Ack Ltr Code of each Client Control Record you can specify what type of acknowledgment the client gets.

  3. In the New Accounts to Report window, select one of the following:

    This window is bypassed during preliminary Month-End.

    • To include the current month's new accounts, click Current Month's New Accounts, and press Enter or click Ok.
    • To include the last month's new accounts, click Previous Month's New Accounts, and press Enter or click Ok.
    • To include new accounts from both months, click Both Months' New Accounts, and press Enter or click Ok.
  4. In the Enter Client Number(s) Separated by a Semicolon window, do one of the following:
    • To accept the default of all clients, press Enter or click Ok.
    • To specify the clients to receive acknowledgments, type each client number, separated by a semicolon, and press Enter or click Ok.
  5. In the Enter Starting Account Number window, type the number of the first new account to include in the acknowledgments, and press Enter or click Ok.
  6. In the Date Selection window, select one of the following:
    • To select accounts by assignment date, click Assignment Date, and press Enter or click Ok.
    • To select accounts by the date they were added to the system, select By Setup Date, and press Enter or click Ok.
  7. In the Assignment Date Selection window or the Setup Date Selection window, do one of the following:
    • To select the accounts using a specific date, select Single Date, and press Enter or click Ok.
    • In the Enter Date window, type the date for which new accounts will be included on the acknowledgments, and press Enter or click Ok.
    • To select the accounts after a specific date, select Starting Date, and press Enter or click Ok.
    • In the Enter Starting Date window, type the first date for which new accounts will be included on the acknowledgments, and press Enter or click Ok.
    • To select the accounts during a specific time period, select Range of Dates, and press Enter or click Ok.
    • In the Enter Starting Date window, type the first date for which new accounts will be included on the acknowledgments, and press Enter or click Ok.
    • In the Enter Ending Date window, type the last date for which new accounts will be included on the acknowledgments, and press Enter or click Ok.
  8. In the Date to Appear on Acknowledgment Letters window, do one of the following:

    If you are printing acknowledgment lists only, this prompt does not display. Proceed to the Step 10.

    • To accept the default (today's date), press Enter or click Ok.
    • To use a different date, type the date (MM-DD-YY), and press Enter or click Ok.
  9. At the Change forms between letters and lists? prompt, do one of the following:

    This prompt only displays if you are printing both letters and lists.

    • To print letters and lists on different forms, click Yes.
    • Before you select Ok at the Ok to print? prompt, be sure the printer is loaded with the proper form for letters. When the letters finish printing, a second Ok to print? prompt displays. Change the form in the printer and then select Ok.
    • To use the same form for both types of acknowledgments, click No.
  10. At the Select your output destination prompt, do one of the following:
    • To view the acknowledgments, click View.
    • To email the acknowledgments, click Email.
    • To print the acknowledgments, click Print.
      1. Select a printer and click Ok.
      2. At the Ok to print? prompt, click Ok.
      3. To return to the previous screen, click Cancel.
