Recording customer ACH authorization

Your agency may handle authorizing future ACH transactions in the following ways:

  • Letter only—Your agency requires that the customer return an authorization letter with the customer's signature or a phone call from the customer verifying the letter and authorizing the withdrawal. Before The Collector System can process future pre-authorized electronic funds transfers, you must enter the date you received the letter or phone call.
  • Phone only—Your agency does not send an authorization letter and only requires that you receive verbal confirmation from the customer over the phone. If your agency uses this type of authorization, The Collector System automatically enters the current date as the date your agency received authorization and will process all future pre-authorized electronic funds transfers. This method requires you to record the call in which the customer granted authorization.
  • Letter or phone—Your agency may allow you to receive authorization by letter or phone. In this instance, The Collector System prompts you to choose how you received authorization. If you receive authorization by letter or phone call verifying the letter, you need to enter the PIN number from the letter and the date you received the authorization in The Collector System before any future pre-authorized electronic funds transfers are processed.

Use the following routine to record how you received authorization from a customer.

To record customer ACH authorization:

  1. Open an account in the Collector screen.
  2. At the CMD prompt, type ACH, and press Enter.
  3. If your agency allows either letter or phone authorization, in the ACH Authorization Source window, select one of the following:
    • To record a letter authorization, accept the Letter default by pressing Enter or clicking Ok.
    • To record a phone authorization, select Phone, and press Enter or click Ok. Proceed to Step 5.
  4. In the ACH Auth: Dt field of the Electronic Bank Input/Validation Screen, type one of the following, and press Enter:

    • The date your agency received the returned authorization letter from the customer.
    • The date the customer called your agency to respond to the authorization letter.

    You cannot change the date after you type it in the field and press Enter.

  5. At the Is Bank Information Correct? prompt, click Cancel.

    The Collector System saves the ACH authorization date for the account.
