Setting the number of days to retain letters/notices

Use this option to increase the number of days that The Collector System stores the letters/notices you send. By default, The Collector System stores sent letters/notices for 4 days. You can increase this up to 30 days, giving you more time to reprint any letters/notices you have sent. If the letters are part of a batch, you can reprint the batch as long as the letters/notices are still stored and the batch is set to print to file. Be aware that the longer the storage time, the larger the letter/notice file needs to be. For example, if you choose to retain letters/notices for 8 days, you need twice the amount of space you had for 4 days. For more information on file resizing, see Menu 9.13 - File Maintenance.

To set the number of days to retain letters/notices:

  1. From the Master menu, navigate to ClosedManagement Strategy > Agency > Miscellaneous Setup Routine > (menu 10.1.15).

  2. In the Miscellaneous Setup Routines window, select Set Number of Days to Retain Letters, press Enter or click Ok.
  3. In the Days to Retain Letters (4-30; Default=4) window, type the number of days to retain letters/notices, and press Enter or click Ok.
  4. At the CURRENT Value is number. New Value will be number. An increase in the number of days may necessitate resizing the letter name file. OK to update? prompt, do one of the following:
    • To update the number of days and possibly increase the file size, click Yes.
    • To not update the number of days, click No.
  5. At the UPDATED from number days to number prompt, press Enter or click Ok.
